Privacy policy

Below is how we handle personal data under the EU General Data Protection Regulation (GDPR). We collect as little as possible, keep it as briefly as possible, and never sell or share it with advertisers.

What we collect

  • Name and company name when you fill in the match form.
  • Email address and, optionally, phone number.
  • Chat transcripts of the match conversation on the homepage.
  • Standard server logs (IP, user agent, timestamps) to prevent abuse.

Why we collect it

To respond to your question, assess whether there's a project, and follow up on commitments. Legal basis: your consent (you submitted the form) and our legitimate interest in responding to business inquiries addressed to us.

How long we keep it

We keep match forms and chat transcripts for up to 24 months after the last contact, then delete them. You can ask for earlier deletion; we usually handle that within a week.

Who processes on our behalf

We use a small set of sub-processors. Each has a signed data processing agreement with its vendor, and data stays inside the EU or is transferred under the standard contractual clauses.

  • Resend — transactional email (form submissions, replies).
  • Vercel — hosting for the website and API.
  • Anthropic (via Vercel AI Gateway) — language model for the match chat.
  • Cloudflare — DNS and network-edge security.

Your rights

Under the GDPR you can ask us at any time to:

  • Access — a copy of the personal data we hold about you.
  • Rectification — correct inaccurate data.
  • Erasure — delete your data (right to be forgotten).
  • Portability — export your data in a machine-readable format.
  • Objection or restriction — limit or object to processing.

Data protection contact

For an organisation of our size, no Data Protection Officer is required, but we read everything that comes in at hello@heyfuture.ai.

Terms and conditions

These terms apply to every engagement between you (the client, a business) and Hey Future. Individual order confirmations may supplement or modify these terms; in case of conflict, the order confirmation prevails.

Scope and deliverables

Every engagement is captured in a written order confirmation: scope, deliverables, fixed price and delivery date. Work outside that scope is out of scope until we agree on it separately.

Rates and payment

Fixed price per order confirmation, invoiced as agreed (typically a deposit on signing and the balance on delivery). Invoices are payable within 14 days. If payments fall behind, we may pause the work.

Intellectual property

On full payment, you own the deliverables made specifically for you. Rights to our existing tools, libraries and know-how remain with us; you receive a non-exclusive licence to use them in combination with the deliverables.

Confidentiality

Everything you share with us is treated as confidential and used solely to carry out the work. Mutual NDA on request.

Warranties and limitation of liability

Our liability is capped at the amount invoiced for the engagement in the twelve months before the event. No liability for consequential damages, lost profits or missed savings. This cap does not apply in cases of intent or wilful recklessness on Hey Future's part.

Governing law and jurisdiction

These terms are governed by Dutch law. Disputes are submitted exclusively to the competent court in Amsterdam.

Changes to these terms

These terms can evolve with us. Material changes apply only to new engagements; what's already signed under an order confirmation stays under the terms as they were then.
